Torq's user roles and approval flow offer a structured way to manage workflow creation and publication, ensuring every workflow undergoes a thorough review before affecting production. This guide outlines how to leverage these features effectively.
Assigning User Roles
Creator Role: Assigned to users responsible for creating and editing workflows. They cannot publish workflows directly and must submit their work for review.
Contributor and Owner Roles: Designated to users with the authority to review and publish workflows. They also can submit workflows for review, aligning with organizational standards.
Workflow Submission for Review
Create and Test: Begin by crafting your workflow and conducting tests to ensure its functionality.
Submit for Review: Once ready, submit the current workflow version by clicking "Submit For Review".
You can make further edits, but each new set of changes must also be submitted for review.
Users who are assigned either the Contributor or the Owner role will have the option to publish the workflow and submit it for review
3. Completing the Submission Form
Tags: Choose relevant tags or create new ones for your workflow.
Version Description: Provide details about the version being submitted.
TimeBack Benchmark: Estimate the time savings achieved by a single workflow execution.
Initiating a Review
Select Reviewers: Submit your workflow for review to specific team members or groups, preferably those with Contributor or Owner roles.
Reviewer Actions: Reviewers receive an email prompt to review the workflow in Torq. They can view changes, approve, and publish the workflow. Any post-submission modifications are retained as drafts.
Trigger a Workflow Upon a Review Submission
Set Up a Trigger: To automate the review process, create a workflow triggered by the Request for review system event.
Execution on Submission: This automated workflow activates whenever a workflow is submitted for review, streamlining the approval process.
