Learn how to share read-only workspace variables across workspaces and manage share requests effectively.

Share workspace variables across workspaces, fostering collaboration within your organization while maintaining data integrity. Sharing a workspace variable allows selected workspaces to access and utilize the variable, albeit in a read-only format to ensure control remains with the source workspace.

How to Share a Workspace Variable

Sharing a workspace variable streamlines collaboration across projects. Here's how to do it from the source workspace:

1. Initiate Sharing: Navigate to Build > Workspace Variables and choose the variable you wish to share.

2. Begin the Share: Click on the sharing icon and select the workspace you intend to share the variable with. Note that sharing is limited to workspaces where you hold membership.

3. Complete the Share: Confirm the share by clicking OK. If you're an Owner of the receiving workspace, the share request is automatically approved. Otherwise, workspace owners will receive an email to review and accept the shared variable.

Accepting a Share Request

Upon receiving a share notification, follow these steps to incorporate the shared workspace variable into your workspace:

1. Review the Request: Click on Review workspace variable within the email and you will be redirected to the Workspace Variables page in Torq.

2. Evaluate the Variable: Carefully review the variable details to ensure it meets your workspace's requirements.

3. Make Your Decision: Choose to accept or deny the shared variable. Your decision will be communicated back to the sharing user via email.

Managing Shared Workspace Variables

Maintaining control over shared workspace variables is straightforward, whether you're the sharer or the recipient:

  • Revoking a Share: As the source workspace, revoke access by selecting the variable under Workspace Variables, hitting the sharing icon, and removing the desired workspace's access.

  • Removing a Shared Variable: As the recipient workspace, you can remove access to a shared variable by selecting it under Workspace Variables and clicking Remove.

Both actions prompt an email notification to the respective workspace owners, ensuring transparency and communication throughout the process.
