Restrict Cases Access: Ensure Information Confidentiality

Ensure information privacy by controlling who has access to specific cases.

Restrict access to cases to safeguard sensitive information, ensure regulatory compliance, and protect confidential security incidents and legal matters.

Case restrictions are managed at the workspace level, where only Assignees, Reviewers, and other explicitly specified Collaborators can view and edit the case.

Manage Case Access Restrictions

  1. Navigate to the Case: Go to the Cases page and click on the case you want to manage access for.

  2. Manage Restrictions: In the top toolbar of the case, click the three-dot menu and select Restrict case access.

    1. Access Mode: Manage access restrictions by toggling between Full access and Restricted.

    2. Manage access list: When restricted, allow access by adding users to the access list as Collaborators. Remove users by clicking Remove next to their name in the list.

      1. Case Assignees and Reviewers are included in the access list by default.

      2. A user can be listed as Assignee, Reviewer, and Collaborator simultaneously to protect their access if case ownership changes.

      3. Cases are protected against accidental access loss by the scope bypass.case.access.restriction.

  3. Finalize: Click Save.

  • To protect against access loss, users with the bypass.case.access.restriction scope (granted by default to workspace Owners) can modify restrictions and view and edit all cases regardless of access restrictions.

  • Updates to the access mode and collaborators list are recorded in the case timeline and Audit Log.

When a case is restricted, it will show a yellow ribbon clearly indicating its restricted status.

Filter by Restricted Cases

Users can filter cases by restriction. Filter by All, Full access, or Restricted.
